Specialist - Information (2008-R-44)
Basic purpose : The successful candidate shall develop and enhance the Library's capability to deliver digital information to clients by enhancing the Library's online information sharing environment, while using the latest in information technology. This includes giving support to the Assistant Chief Librarian in developing the rice bibliography and eventually assuming all tasks related to database management upon the retirement of the Assistant Chief Librarian.
Major responsibilities:
1. Manage/enhance the library's key electronic database (mainly the rice database, the Dspace repository and other special databases)
* Revise database management procedures/policies as needed
* Spearhead the publication of the Rice Literature Update CD-ROM
* Coordinate regular back-up of files

Qualification requirements:
Minimum education : BS Computer Science or Bachelor of Library and Information Science (BLIS) or MS Information Science or Master of Library and Information Science (MLIS)
Experience required : 2 years experience in database management; preferably with subject background in agriculture or rice and familiarity with the library environment
Skills and abilities : Advanced computer/programmin g skills, excellent communication skills, excellent organizational skills, strong commitment to service and client-oriented, excellent oral and written communication skills, able to work independently with minimal supervision, good team worker.

Description of the Job:
The position directly reports to the Manager – Ayala Memory and is tasked with administering and organizing the Ayala Memory collection. Specifically, the jobholder will perform the following tasks:
AGC Photobank Administration
· Sort photographs chronologically, and by company and event.
· Tag and classify photos submitted by each Ayala group company
· Draft annotations for the photos
· Scan and enhance the photos, and upload each onto the Photobank database
· Back-up photos in CDs for easy retrieval
· Mount the photos on acid-free albums
· Perform an inventory of the collection at the end of the year
Familia Photos Collection
· Classify and catalogue the familia photos, and create a photo description sheet for the family tree project.
· Scan the photos, enhance image, and back-up in CDs for easy access
· Mount the photos on acid-free albums
· Ensure preservation and maintenance of all materials
· Conduct a year-end inventory of the collection
Ayala Memory Library
· Design and supervise the digitization and preservation program of the Ayala Memory library
· Supervise digitization and preservation of AV collection
· Perform the acquisition processes
· Classify the materials, and make catalog of each
· Index the vertical files
· Encode each material onto the database
· Shelve the materials properly
· Shelf read at the end of the day
· Ensure preservation and maintenance of all materials
· Digitize materials for easy access
· Conduct an inventory at the end of the year

· Monitor daily major broadsheets, and tag articles related to the Ayala group of companies (AGC)
· Proofread the encoded articles and edit, if necessary, on the database
· Draft the top story of the day headline, and see to it that headlines are disseminated (by email) before 8:30AM.
· Clip the newspaper articles after they have been encoded
Research and Writing Tasks
· Research on major developments related to the AGC, and record these for the publication of the Ayala Almanac
· Attend to research requests of clients from the AGC
· Update the Ayala Memory webpage monthly. Draft short articles, and provide related photos for the feature of the month.
· Assist in writing tasks for Ayala Memory projects (AFI Annual Report, Ayala Now newsletter, Research projects, etc.)
Selection Criteria:
· Graduate of B/M Library and Information Science, licensed, and preferably with background in archiving and preservation.
· Knowledgeable on different library operations and IT-related library management
· Excellent classification, cataloguing, indexing, and inventory skills
· Good communication skills
· Possess good research and writing skills
· Honest, patient, and flexible
